SmartAcademy offers a powerful WhatsApp Service that allows guardians to manage their child’s academic information and communicate with school staff directly through WhatsApp. This service provides a convenient way to access key details such as student profiles, timetables, attendance reports, fee inquiries, teacher contacts, leave applications, and more, all through a simple and intuitive interface.

Key Features

  1. Student Profile Management
    If there are multiple students registered under the same WhatsApp number, guardians can choose the appropriate student profile before proceeding with any other actions. This ensures that the service is personalized to the right student.

  2. Access Student Details
    Guardians can view essential details about their ward, including:

    • Personal Information: Name, Date of Birth, Gender, Address, WhatsApp Number
    • Class Information: Class & Section, Roll Number
    • Parent/Guardian Details: Mother's Name, Phone Number, Occupation; Father's Name, Phone Number, Occupation; Other Guardian Details (if applicable)
    • Admission Information: Admission Number, Admission Date

    If any updates are required to this information, guardians will have the option to connect directly with the class teacher or receptionist (based on school configuration).

  3. Timetable Access
    Guardians can receive the timetable for their ward’s class and section in an image format. The timetable includes the schedule from Monday to Saturday, displaying the subjects along with the names of the respective teachers.

  4. Attendance Report
    Guardians can view the attendance report for their ward by selecting the desired month and year. The attendance details for the selected period are sent as an image, providing a clear record of the student's attendance.

  5. Fee Information
    While fee details are not yet integrated into the SmartAcademy service, guardians can easily access the contact details of the school accountant to obtain the required fee information.

  6. Connect with Teacher
    Guardians can connect with teachers directly through WhatsApp. The service provides a list of teachers, along with their subjects and the class teacher’s information. After selecting a teacher, guardians will receive the teacher's contact details, and the teacher will be notified of the connection request.

  7. Contact Class Coordinator
    Guardians can easily get in touch with the class coordinator. By choosing this option, guardians will receive the coordinator's contact details for further communication.

  8. Apply for Leave
    Guardians can apply for leave for their ward with the following types available:

    • Half-Day Leave: Guardians can specify which half of the day the student will be absent and whether a guardian will pick up the student. If a guardian is picking up the student, additional details such as Guardian Name, Phone Number, Pickup Time, and Guardian’s Photo for verification are required.
    • Full-Day Leave: Guardians will need to provide the date of the leave.
    • Expanded Leave: Guardians must specify both the start and end dates for the leave.

    A reason for leave is required in all cases. After submitting the request, the guardian will receive a confirmation along with the leave application number.

  9. Submit Complaints
    Guardians can submit complaints regarding any staff member. The process includes:

    • Staff Selection: Guardians choose the staff member they wish to complain about.
    • Complaint Details: Guardians provide the reason for the complaint.
    • Attachments: Up to 5 photos can be attached to the complaint (optional, but helpful for context).

    Once submitted, the guardian will receive a complaint confirmation with a unique complaint number.

  10. Attendance and Homework Notifications

    • Attendance Status: The class teacher can send attendance status directly to the student's WhatsApp number (to the guardian or parent), allowing real-time updates on attendance.
    • Homework Notifications: Teachers who have access to the class can send homework directly to the student's WhatsApp number (to the guardian or parent).

Pricing

The charge for using SmartAcademy WhatsApp Service is ₹0.11861 per student per conversation. This means sending attendance updates, homework, or other relevant information will be covered under a single charge. School will only be billed once per conversation, ensuring an affordable and transparent pricing model.
